OCPS Ariba

A cloud-based solution that allows suppliers and buyers to connect and do business over a single platform. 

Events and Information:

  • Project Timeline – 4/14/2025 through 12/8/2025

A table lists project milestones and planned start dates.

  • Workshops identify current process and processes that will change. These decisions have completed.
  • We are currently in the Build Phase where the system is being built.  System testing will then occur to ensure all decisions made were implemented and are working as expected.  We anticipate the build to be complete by July 31, 2025 at which time system testing and Quality Analysis will begin.

May 19, 2025 - Thank you to all survey and interview participants!  We will review your experiences and comments so that we can create an awesome experience for you. 

May 22, 2025 - Introduction to Supplier Enablement on the SAP Ariba network for OCPS Suppliers.

June 11, 2025 - Conclude the functional and technical build decision-making process.  We also received a read-out from the surveys and interviews which provides insight to a better way to prepare better communications for our stakeholders.  It also helps us determine better ways to engage our users during training and go-live. 

June 12, 2025 - Build and configure phase of the system begins!  Identification of users of iBuy who will need access to Ariba has begun.  We are beginning to plan training and how that will all work.  Canvas training will be the main outlet for staff who will need to be trained so we will work with the stakeholders to identify users to help us create content that is friendly and relatable to our procurement processes as well as those processes in accounts payable and budget that will change.

Questions and Answers:

  • A Change Agent Network (CAN) is made of people who can be utilized as a “helper” for others in their departments or offices.  Procurement would like to identify OCPS Ariba users who can assist their teams so that everyone can learn how to use OCPS Ariba.  We’d also like to hear from our agent network when a solution is not working as expected or suggestions for improvements. 

    We’d like to build that network with you!  Reach out to procurement@ocps.net to volunteer to be part of the change!

  • OCPS Ariba is an SAP Buying and Invoicing product.  It is a modern procurement platform designed to simplify and enhance how OCPS purchases goods and services.  Some of our suppliers are already on the Ariba Network (AN) and others will be asked to join the network (Supplier Enablement) to make buying and invoicing easier and more automated. 

  • SRM iBuy was phased out for a newer, more modern program.  SAP’s Supplier Relationship Management (SRM) will be going end of life in 2027. SRM is the module of SAP where all purchase orders are created, reviewed, and approved.  Given this is a mission-critical system, the district must transition to SAP Ariba to ensure seamless purchasing throughout the district.  The purpose of the SAP Ariba project is to transition from SAP SRM to SAP Ariba which is SAP’s next generation solution.

  • The Project Team is planning to begin trianing in the fall of 2025.  Specific information and dates will be communicated to all staff.  Training will be published in Canvas and the certificate of successful completion must be provided to Procurement Services by email to activate your credentials.  Email certificates to procurement@ocps.net

  • Yes, previous orders can be copied to create a new order. Be sure to check your funding to ensure the correct fund is used.

  • Yes, OCPS Ariba is adaptable to mobile devices.

  • OCPS Ariba will be new for everyone, and we’d like to identify people in each division or office who can lead the change for their department.  Our Change Agents will be part of a network of people who identify issues that need to be taken back to the team for a solution, who assist other team members who are new or struggling, who are willing to meet with procurement periodically to discuss issues and suggest solutions or new ideas.
